Schengen Visa Document Checklist for UAE Residents

There is no single checklist that replaces the one issued by your destination country. France, Switzerland, Portugal, and the Netherlands can ask for different forms and evidence even though all four apply the Schengen Visa Code.

Use this guide to prepare. Before the appointment, download the current checklist from the embassy, government visa website, or authorised provider for your destination and travel purpose.

1. Application form

Complete the correct short-stay application form and sign it where required. Some destinations generate the form through an online system. France applicants, for example, complete the process through France-Visas before booking VFS Global.

Check:

• full name and spelling;
• passport number;
• issue and expiry dates;
• nationality;
• travel dates;
• purpose of travel;
• main destination; and
• previous biometric or visa information.

The dates should match the itinerary and supporting bookings.

2. Passport

The European Commission states that the passport should:

• remain valid for at least three months after departure from the Schengen area;
• have been issued within the previous 10 years; and
• contain enough blank space for the visa and border stamps.

Destination checklists often ask for copies of the identity page, previous visas, and used passport pages. Bring the current passport and any old passport requested by the checklist.

3. Photograph

Provide a recent photograph that meets the destination's stated ICAO and size requirements. The Swiss UAE checklist, for example, calls for a recent 35 mm by 45 mm colour photograph on a light background.

Do not reuse a visibly old photograph. Follow the current checklist for the number of photographs and whether to glue one to the form.

4. UAE residence evidence

Prepare:

• the UAE residence document requested by the destination;
• Emirates ID, front and back if requested; and
• evidence of a pending renewal if the official checklist permits it.

Residence-validity requirements can differ. Switzerland currently says that a third-country national's UAE residence documents normally need to remain valid for at least one month beyond the planned return. Another destination may state a different period.

Do not copy a residence-validity rule from an unrelated country's checklist.

5. Travel medical insurance

The policy must cover the Schengen area and the full required period. The European Commission requires cover for emergency medical care, hospital treatment, and repatriation, including repatriation in the event of death.

Most official checklists require minimum coverage of EUR 30,000. Confirm the amount and accepted insurer rules on the destination's current checklist.

Check that the certificate shows:

• every applicant's name;
• the geographical coverage;
• the coverage dates;
• the benefit amount; and
• the relevant medical and repatriation cover.

6. Transport and itinerary

Provide the reservation or travel plan required by the destination. Avoid buying a non-refundable ticket merely to create an application document.

If you will visit several countries, state the route and number of nights in each place. The itinerary should make clear why you are applying to that particular country.

7. Accommodation

Provide accommodation for the full trip, such as:

• hotel reservations;
• a rental booking;
• an invitation and host documents; or
• another form accepted by the destination.

Every overnight stay should be accounted for. Names and dates should match the application.

8. Financial evidence

Show that you can pay for the trip and return journey. The destination may request:

• recent bank statements;
• salary evidence;
• payslips;
• a sponsor's documents;
• company records for a business owner; or
• other proof of regular funds.

Use the period and format stated on the official checklist. Do not assume that every consulate requires stamped bank statements or the same minimum daily amount.

Explain unusual large deposits with genuine supporting evidence if the checklist or your circumstances call for it.

9. Employment, study, or business evidence

An employee may need an employer letter or no-objection certificate. The letter commonly confirms the job, salary, employment start date, approved leave, and expected return to work.

A business owner may need a trade licence and company records. A student may need an enrolment letter. A sponsored family member may need the sponsor's financial and relationship documents.

Follow the applicant-specific section of the destination checklist.

10. Purpose-specific documents

Add the evidence that supports the real purpose of the visit.

Examples include:

• a host invitation and proof of relationship for a family visit;
• meeting invitations and employer documents for business;
• conference registration;
• medical-provider records for treatment; or
• documents for an EU, EEA, or Swiss family-member application.

Do not file a tourism application if the actual purpose is different.

11. Documents for children

For an applicant under 18, the checklist may require:

• a birth certificate;
• copies of the parents' passports;
• signatures from both parents;
• consent from a non-travelling parent; and
• custody or guardianship evidence.

The form of consent and legalisation requirements differ. Use the destination's current instructions.

Final check before the appointment

Review the file in this order:

1. Compare every item with the official checklist.
2. Confirm that names and passport numbers match.
3. Compare all travel dates.
4. Check passport, UAE residence, and insurance validity.
5. Sign every required page.
6. Make the requested copies.
7. Bring the appointment confirmation and payment method.

An application centre can receive a complete file, but only the consular authority can decide the application. No document checklist guarantees approval.
